The New York State Executive Chamber is seeking an Inclusive Internship Coordinator within the Office of the Chief Disability Officer. This position will be physically located in the NYS Department of Labor State Office Campus Building 12 in Albany, and will also need to report to the NYS Executive Chamber at the NYS Capitol Building in Albany. The duration of this project is expected to be 5 years, but may be extended if needed.
Below is the job description for our Inclusive Internship Coordinator position. This position will be the liaison between state agencies and potential interns, marketing the benefits of an intern with a disability to the state agencies and matching the interns to the appropriate agency/internship.

Minimum Qualifications
A bachelor's degree or equivalent* AND four years of specialized experience working with people with disabilities. Experience including job-placement is preferred; or a master's degree in a related field and three years of specialized experience.
* Ability to initiate and maintain relationships across a diverse set of stakeholders.
* Strong interpersonal and writing skills, as well as the ability to conduct effective training and presentations to staff and other key stakeholders.
* Proven ability to develop and maintain strong working relationships with a wide range of internal stakeholders (including line staff, managers, department heads) and external resources (including other partners, funding sources and referral sources).
* Prior program management experience and/or human resources experience.
* Must exhibit excellent organizational and coordination skills and ability to manage multiple tasks simultaneously, while exercising independent judgement and problem-solving abilities.
* Strong communication and social media platform skills.
* Willingness to work flexible hours as needed.


Standard Duties
* Market the internship program to different offices and programs within state agencies to develop internship opportunities.
* Act as a liaison between the partnering agencies for the program.
* Recruit interns from the partner agencies (SUNY, CUNY, and Commission on Independent Colleges and Universities) that will serve as a continual pipeline for identifying appropriate intern candidates who would benefit from the program.
* Meet with eligible internship candidates for initial screening once their resume has been submitted by a partner agency. These screening interviews are meant to provide a sense of the candidate's strengths and weaknesses, and if they might be a good fit for the internship.
* Schedule and conduct internship interviews with the Chief Disability Officer and facilitate the interview process by fostering communication between candidates, the partner agency, and supervisor(s).
* Ensure the intern onboarding sessions run smoothly and work with agency Personnel Offices to identify and obtain accommodations as needed/appropriate.
* Follow up with intern candidates to ensure that they complete their paperwork accurately and completely. Paperwork includes onboarding documents and payroll documents.
* Match potential interns different department/program areas and potential interns.
* Consult the department heads and/or supervisors from the various agency offices to determine ongoing internship needs and to assure that appropriate learning opportunities for interns are met.
* Meet with interested agencies/teams to introduce the program, talk through what they are hoping an intern will accomplish, and establish criteria for the internship position. Collaborate with them on the Internship Description Form.
* Create and/or revise specific descriptions of tasks and responsibilities each department offers to prospective interns.
* Ensure appropriate on-boarding of interns who are accepted to the program.
* Ensure provision of mandated training to all interns as appropriate.
* Provide guidance, support and education to job coaches, internship supervisors and other staff as needed who oversee internship activities to ensure adequate supervision of interns.
* Meet regularly with each intern to ensure completion of tasks and provide coaching on time management and prioritization, effective communication, and advocacy. Confirm that payroll is accurate and timely. Ensure that all tasks are done timely.
* Conduct regular check-ins with supervisors to ensure that they feel supported, and to troubleshoot any issues that may occur with interns. Most common topics include interns' social skills, communication, and timesheet issues.
* Host "Lunch and Learns" for interns and partners. These events consist of a guest speaker, intern resources, and time for networking. Planning involves confirming speakers and logistics, ensuring accessibility features (ASL interpretation and CART services) and participant registration.
* Provide information about the program to organizations that are interested in recommending candidates.
* Ensure ACCES-VR authorization is approved and submitted to the correct agency. Follow-up is needed each week with payroll to ensure that the intern has completed paperwork and is being paid properly.
* Assist with the 55B and ACCES-VR eligibility process.
* Track all internship placements and outcomes to provide periodic statistical reports to those overseeing the program.
* Work with the appropriate offices on evaluating the program, including providing regular, written reports to appropriate stakeholders and constituents, and attending and coordinating steering committee meetings.


Additional Comments The New York State Executive Chamber is seeking an Inclusive Internship Coordinator within the Office of the Chief Disability Officer. This position will be physically located in the NYS Department of Labor State Office Campus Building 12 in Albany, and will also need to report to the NYS Executive Chamber at the NYS Capitol Building in Albany.
The duration of this project is expected to be 5 years, but may be extended if needed.
Position specific job duties may include occasional altered work schedule or job assignments which require availability and willingness to work occasional evenings and/or out-stationed assignments.
This position is not eligible for overtime.
